📌 Why This Matters
All communication between Group Leaders and members must stay inside the MentalHappy platform. This protects privacy, maintains HIPAA compliance, ensures transparency, and keeps every member on equal footing.
1. No Direct Messages – Group Chat Only
You cannot send 1-on-1 messages to members or receive them.
Why: Keeps health information secure, logged, and transparent.
“Hi everyone, just a reminder that our session is at 6 PM today!”
2. Use “@” Mentions to Get Attention
Type @username
in the group chat to notify a specific member.
3. Respect Member Contact Privacy
You cannot see the email or phone number of members who joined through MentalHappy. Do not request personal contact info. Even if you know a member personally, use the platform for group-related conversations.
4. Anonymous Questions for Sensitive Topics
How it works:
- Members select Ask Anonymously in the app.
- You get notified and see their name privately.
- You approve or reject the question before it appears.
Approval Guidelines:
- Relevant, respectful, useful to group discussion
- Harmful, off-topic, or identifies others without consent
Anonymous: “How do I cope with panic attacks at work?”
(You know the asker but others only see “Anonymous.”)
5. Key Rules to Share with Members
- “Your identity stays private with me always.”
- “Approved anonymous questions are labeled Anonymous in the chat.”
- “If a question is rejected, you’ll get a private reason.”
- “I only reject questions to keep the group safe and relevant.”
6. Best Practices for Leaders
- Always post in the group chat (DMs are not allowed).
- Tag members when responding directly in chat.
- Encourage anonymous questions for sensitive topics.
- Stay professional and compliant—it builds trust and a safe space.
7. When to Escalate 🚨
Escalate to MentalHappy Support if a member:
- Repeatedly asks to move conversations off-platform (email, phone, DM).
- Pushes boundaries around privacy.
- Uses chat to pressure others into private communication.
📌 Use the in-app Support option or email support@mentalhappy.com with the member’s name and details.
- Pin a “How We Communicate” post at the top of your group feed.
- Use @mentions sparingly so they feel meaningful.
- Remind members to check their notifications before sessions.
📌 Bottom Line
Keep all communication inside group chat, use @mentions for direct responses, protect contact info, and support anonymous participation. This keeps your group safe, private, and engaged.
